HOW TO BECOME AN EXHIBITOR AT THE KINGSTON FALL FAIR

Everyone is welcome to enter our competitions! Be sure to read the general rules below, then check the rules that pertain to each competition you wish to enter. You’ll need to fill out the membership form (download below) and an entry form (download below) for each competition you wish to enter. Livestock and horse show forms are found in their own section on the website. Be sure to use the prize book wording on the entry form and follow all instructions carefully. Note: Entry forms are also included in the print version of the prize book.

Each competition has its own entry drop-off and pick up time, so be sure to note all deadlines. An entry tag must be attached to each item you enter: these can be picked up at the fair board office in the Memorial Centre as noted in Rule #9 below.

GENERAL EXHIBITOR RULES & REGULATIONS 

Please Read Carefully Before Making Your Entries 

  1. Exhibitors must read these rules as well as those stated in the individual competitions in order to note any additions and/or exceptions.  

  2. All exhibitors must be a resident of The Province of Ontario, unless otherwise stated. 

  3. All exhibitors must be a current member of the Kingston & District Agricultural Society as of Sept. 1, 2024, for a fee of $5.00 per year. Exhibitors 17yrs and under as of January 1, 2024, will be given a free membership. 

  4. All exhibits must be bonafide property of the exhibitor.  Farm produce is to be the growth of the current year and exhibited by the grower. 

  5. Unless otherwise noted, Exhibitors are restricted to one entry per section. 

  6. In the absence of competition in any section, or if the stock/article or display exhibited are of inferior quality, the Judges will award only such premiums as they think the article deserves.  Judges please note. 

  7. No exhibit will be given a prize unless it is deemed worthy.  

  8. Any protest against the decision of the Judge, or any exhibit, must be made and delivered to the secretary in writing within 24 hours of the close of the specific event; stating the nature of the protest and signed by the complainant.  A $25.00 non-refundable fee must accompany the original complaint. 

  9. Entry forms can be downloaded from the website or picked up at the Fair Board office in the Memorial Centre, open Tuesdays, Wednesdays and Thursdays from 9 a.m. to 2 p.m.. Exhibitor tags are available at the office, or on-site when dropping off entries. The entry form must be completed using the wording of the prize book.  An improperly completed entry form could disqualify an entry.  No prize money will be paid unless a fully completed entry form has been submitted to the office.   Exhibitors must make their own choice as to class and section in which they enter their article or exhibit. 

  10. Any person attempting to interfere with or influence a Judge or who shall at any time use abusive language to any director or judge or use fraud, deception or dishonest practices, shall forfeit any premium to which he/she might otherwise be entitled and shall be excluded from exhibiting.  

  11. Any Exhibitor or attendant refusing to comply with any of the Agricultural Society’s rules will forfeit entry fees and the right to compete to receive any premium.  

  12. The Agricultural Society is not responsible for accidents to stock or loss of articles when on the fairgrounds.  Every reasonable precaution to prevent the same will be made and the Society will not make any payment thereof.  

LIVESTOCK EXHIBITORS 

  1. In all classes for purebred livestock, the animals must be registered in the name of the Exhibitor in their respective herd books.  In the case of transfer of ownership, the necessary regulations must be complied with and such transfers properly recorded.   Exhibitors must produce certified pedigree if required.  Current year calves must be tattooed.   

  2. Straw will NOT be provided.  Please bring your own.   

  3. All stalls must be left open to allow visitors ample opportunity to view the animals. 

  4. Exhibitors are strictly forbidden to smoke, use stoves, lamps, lanterns, or fire in any form within or near the livestock or any buildings.  Consumption of alcoholic beverages will not be permitted on the fairgrounds except in designated licensed areas.  

  5. Exhibitors must make their own choice as to class and section in which they enter their animals.  Great care must be taken that animals are properly entered.  

  6. In all breeding classes, no animal will be allowed to compete in more than one section of a class, except when competing as progeny, get-of-sire in groups and breeders herd or for championship or special prizes, or where otherwise mentioned.  

  7. If required Exhibitors must make statutory declarations that the animal is entered in the proper section.  

  8. All animals must be property of the Exhibitor.  Satisfactory proof of ownership may be required.  

  9. The breeder of an animal is the owner of the dam at the time she is bred.  

  10. Only 1st and 2nd prizewinners are eligible to show for Championships.  

  11. Exhibitors entering prize competitions who fail to appear in the judging ring at the appointed time shall immediately be excluded from competition in the section.  

  12. Exhibitors must have stalls and pens cleaned up before 8:00 am each morning, so that the Agricultural Society can have litter removed.  

  13. The passageway must be kept clear.  All extra feed, etc. must be stored in the designated area provided.  

  14. No one is allowed to change or alter any portion of the buildings without permission from the Agricultural Society.  

  15. Any Exhibitor or Attendant refusing to comply with any of the Agricultural Society’s rules will forfeit entry fees and the right to compete or receive any premium. 

  

LIABILITY, INSURANCE & WAIVERS 

  1. It shall be a condition of entry that the Agricultural Society will not be liable for loss to an exhibitor occasioned by fire, accident, condition of structure, or the negligence of other exhibitors or officials or otherwise howsoever.  

  2. Exhibitors showing animals or machinery must have a minimum of $2,000,000. Liability Insurance.  Certificate of Insurance or a copy of same is to be provided when entry is submitted. 

  3. All Exhibitors are required to sign and forward to the office a Hold Harmless Waiver. 

 

ADMISSION PASSES 

  1. 4-H members must show membership card at gates.  

  2. Judges, Press/Media will receive a pass and badge.  

  3. Livestock Exhibitors will receive one vehicle pass per farm.  

 

PRIZE MONEY 

  1. . All prize money will be paid in cash when winning entries are picked up.
